NEW CLINICAL SYSTEM IN SEPTEMBER

At Milton Abbas Surgery, all patient records are held on our Emis computer system.  This allows continuity of note keeping within the surgery and prevents you having to repeat your story when you see another member of the team.  Many people assume that if they attend hospital or access out of hours care, staff there will also be able to see the patient record, but this is currently not the case.
In order for us to work more closely with the hospitals, ambulance staff and other healthcare providers, Dorset Clinical Commissioning Group are encouraging all GP practices to move to a single clinical system called SystmOne.
For us, this will mean changing our computerised note keeping system on the 18th September 2017.  As we are sure you will appreciate, this is a huge undertaking and will involve a lot of planning, training and time to implement the new system.
WHAT YOU NEED TO REMEMBER:
Firstly, the dispensary is NOT closing during September!  We are simply having to spread the workload to accommodate staff training and learning the new system,  entering stock by hand onto the system, as well as all of the normal day to day tasks that are carried out in a busy dispensary.  It won’t be easy for our dispensers as they can only really learn the new system once it has gone live on the 18th September, so we are simply asking for YOUR help in ordering your medication early so we can spread the workload. Please don’t order your August and September medication at the same time, leave a gap of a week or so if possible.
  • From 9th-25th September the dispensary will not be issuing repeat medication- this is to give us time to learn and get used to the new system and to spread the workload.  We will still be dispensing urgent medication and if you have any issues with your repeat medication, please contact us.
  • In August please order enough medication to last until the 25th September. This may mean that you have to order early in September, but please, don’t order August and September medication together, ideally please leave a gap of at least a week.
  • If you need to order you medication for September, please do it before the 8th September. It is your responsibility to ensure you do not run out of your medication.
  • During the week beginning 18th September the dispensary will be open 8:30am-1pm and 4pm-6pm for the collection of pre ordered medication.  For this week ONLY we will be closing in the dispensary between 1pm and 4pm  so we can learn the new system with minimal interruptions.
  • If you order your medication online you will not be able to do this in September. You will need to collect a password for the new clinical system which will be available to collect from reception, from the 25th September. You will not need to show your identification again.  You can either put your repeat slip in the box at the beginning of September or call the surgery to order.

We realise this is a lot to remember, but it really is only for a short space of time and cooperation will help us hugely.
September will be a testing time for the surgery team so please be mindful that we are taking these steps to ensure that we are able to provide the best possible care for our patients now and in the future.
